Privacy policy

Records on your iPhone

RentalMemo stores properties, units, tenant references, leases, repairs, expenses and attachments you save in app-local storage. No RentalMemo account is required, and this version has no app-managed cross-device sync. Device backup behavior depends on Apple and your settings. Deleting the app may remove local data. PDF and CSV exports are shareable records, not a complete restore mechanism.

Optional AI assistance

With your permission, text and images submitted in a repair conversation are sent over HTTPS through our Cloudflare gateway to OpenRouter and the configured model service. The configured model is Google Gemini, accessed through OpenRouter. A checked request was served by Google Vertex. Routing can vary between eligible endpoints; we do not promise a fixed processing location. An ongoing intake can resend previously submitted conversation text and images for context. Submitted content may contain tenant names, addresses or other information visible in screenshots. The app does not send the local property database wholesale.

AI prepares suggestions. You review the details before saving a repair. You can enter repairs manually instead, or disable future AI sharing in Settings. Disabling sharing does not recall previously submitted information.

Service processing and retention

The gateway source does not intentionally save repair content to an application database. It uses the incoming IP address for request rate limiting. This does not establish that infrastructure or model providers retain no information.

Our current configuration has OpenRouter input/output logging and Cloudflare Workers Logs and Traces turned off. OpenRouter is configured to exclude paid endpoints whose stated policies permit training on request data. These controls do not eliminate processing or retention needed by service providers for safety, abuse prevention, operations or legal obligations. Request metadata, such as model, timestamp, usage and cost, can remain available. We do not promise zero retention. Email and support

If you email us, your email address, message and any attachments are processed through Gmail so we can respond to your question or feedback. Only send information needed to explain the issue; remove tenant information from screenshots.

We retain support emails and attachments long-term as a product-learning archive, including after an issue is resolved. We use this archive to respond to requests, improve RentalMemo and develop lessons for future products. We do not apply a fixed automatic deletion period. We share generalized product lessons without identifying users or tenants. We do not publish original support emails or attachments, or send them to AI services merely because you contacted support. Privacy requests and applicable legal obligations may require individual records to be deleted or otherwise handled. Privacy requests can be sent to the same address. We may ask for proportionate information to verify a request, and will respond as required by applicable law. We cannot promise to retrieve or delete third-party copies outside our control, but will explain the available process and coordinate with providers where possible.

Exports and your choices

When you export a PDF or CSV and share it, the destination you choose receives that file under its own practices. You control which content you enter and share. For privacy questions or requests concerning information you sent to support or AI, contact the email listed on this page. Local-only records are not available to us through a RentalMemo account.

Website and security

Our support site has no advertising trackers, analytics script or contact form. When hosted, its infrastructure provider processes connection information needed to deliver and secure the pages. Email links open your chosen email application. The app uses HTTPS for AI requests; no method of transmission or storage is completely secure.

Your rights and policy changes

Depending on where you live, you may have rights to access, correct or delete personal information, restrict or object to processing, or complain to a relevant privacy authority. Contact us to make a request. RentalMemo is intended for adult landlords, not children. Only submit tenant information that you are entitled to share. We will update this page and its effective date when our practices change, and provide additional notice or obtain permission where required.
